English and Greek PDF OCR: A Practical Quality Guide

OCR converts page pixels into machine-readable characters. Accuracy depends more on the source scan than on the file extension alone.

Prepare the scan

Use an upright page with clear contrast and complete margins. Rotate sideways pages before OCR and avoid repeatedly recompressing small scans.

• Check that letters are not blurred by camera movement.
• Make sure shadows do not cross the text.
• Keep the full line visible rather than cropping characters at the edge.
• Select a smaller page range when diagnosing a difficult document.

Choose the output for the job

• TXT is simplest for copying and search but has no visual layout.
• Word is best for correcting paragraphs, though columns may need cleanup.
• Excel attempts visible rows and columns but cannot reconstruct every table.
• Searchable PDF keeps the page image and adds a hidden searchable text layer.

Greek and bilingual proofreading

Pay special attention to tonos and dialytika, Greek and Latin characters with similar shapes, names, identification numbers, dates, and abbreviations. A bilingual page may switch scripts within a single line.

Do not rely on OCR output alone for legal, medical, financial, or identity information.

Normal versus higher quality

Normal quality supports up to 25 pages and is the practical first attempt. Higher quality is intended for a smaller selected range and supports up to 10 pages. Retry only the difficult pages rather than repeatedly processing the full document.
